Before you start

Count your Ontario employees All sizesFull-time, part-time, seasonal and contract workers in Ontario. Leave out staff outside Ontario, volunteers and independent contractors. 20–49 or 50+ decides what applies.
Confirm who will certify All sizesA senior officer with legal authority to bind the organization and to confirm the report is complete and accurate.
Gather your organization details All sizesLegal name, business number (BN9), business and mailing addresses, and your industry (NAICS code).
Find your last report, if you filed one All sizesBusinesses and non-profits filed in 2023. Your portal account and previous answers are a useful starting point.

Question 1: General requirements

Accessibility policies, with a statement of organizational commitment All sizesWriting them down is advised at 20–49 employees.
Policies documented and publicly available 50+ onlyPosted on your website or available on request, in an accessible format if asked.
Multi-year accessibility plan, posted on your website 50+ onlyReviewed and updated at least every five years, with a status report.
Training on the AODA standards and the Ontario Human Rights Code All sizesFor employees, volunteers, people who develop your policies, and anyone who provides goods, services or facilities on your behalf. New staff are trained as they start.
Written training records 50+ onlyDates training was provided and the number of people trained.
Self-service kiosks considered, if you have them All sizesAccessibility features considered when designing, buying or acquiring kiosks.

Question 2: Information and communications

Accessible feedback process All sizesPeople can give feedback in accessible ways, and you tell the public how.
Accessible formats and communication supports on request All sizesProvided in a timely way at no extra cost, with a public notice that they are available.
Emergency and public safety information in accessible formats on request All sizesOnly if you publish emergency procedures, plans or public safety information.
Public website meets WCAG 2.0 Level AA 50+ onlyPublic websites and web content posted after January 1, 2012, except 1.2.4 (live captions) and 1.2.5 (pre-recorded audio description). Intranets and extranets are excluded.

Question 3: Employment

Recruitment notices All sizesJob postings, interview invitations and offer letters tell applicants that accommodation is available.
Employees informed of accessibility supports All sizesEmployees know your policies for supporting employees with disabilities, and can get information in accessible formats.
Individualized workplace emergency response information All sizesPrepared for employees with a disability who need it, and shared (with consent) with anyone helping them.
Performance, career development and redeployment consider accessibility All sizesManagers take accommodation needs into account in these processes.
Documented individual accommodation plan process 50+ onlyA written process for developing individual accommodation plans.
Documented return-to-work process 50+ onlyFor employees returning after a disability-related absence.

Question 4: Transportation

Confirm whether you provide transportation services All sizesDirectly or through a third party. Most businesses answer no; if you do, read the transportation reference guide.

Question 5: Design of Public Spaces

List any new or redeveloped public spaces All sizesFor example outdoor paths, parking, service counters or waiting areas built or redeveloped since the standard took effect, and how the requirements were met. If none, note that.

Question 6: Customer service

Customer service policy All sizesCovers assistive devices, service animals and support persons. At 50+, documented and available on request.
Notice of temporary disruptions All sizesA template and a process for posting notices when facilities or services people with disabilities rely on are unavailable.
Customer service training All sizesIncluded in your training plan for staff, volunteers and others who serve the public on your behalf.

File and keep it current

Answer the six questions in the Accessibility Compliance Reporting Portal All sizesUse the comment boxes to explain anything still in progress and when it will be done.
Certifier confirms, submits and saves the confirmation All sizesFiling is free. Keep the confirmation with your evidence.
Keep the evidence on file All sizesYou don’t upload documents, but reports can be audited later.
Set reminders All sizesTrain new staff as they start, review the multi-year plan on schedule (50+), and file the next report by December 31, 2029.
